Terms and Conditions

Introduction These Terms and Conditions apply to international conference Smart Transport Forum, organized by SPT Forum Ltd. By registering for and attending this event, participants agree to comply with these terms.


1.    Organiser

  • The Smart Transport Forum (hereinafter the “Event”) is organised by SPT Forum Ltd (hereinafter the “Organiser”)
  • SPT Forum Ltd, registered with the Commercial Register of Republic of Latvia, registration number 40203639606.


2.    Registration & Payment

  • Registration must be completed through online registration system before the Event.
  • Registration fees are published on the Event website at sptforum.com.
  • Payment for the event shall be made in full at the time of purchase. The default payment maturity period is seven business days, unless otherwise agreed.
  • Provided that a request is submitted in a timely manner, the replacement of a registered customer by another individual may always be accommodated.
  • All fees are expressed in EURO and represent the net amount payable to the Organizer, with any associated transfer charges being the responsibility of the participant. These fees exclude any applicable VAT. Please note that VAT will be applied to all registrations.
  • For payments by bank transfer, an invoice is issued upon completion of the registration process. Participants will then receive a confirmation email containing a digital invoice, which details the amount to be paid via bank transfer.
  • All participants registering to represent a company or organization with a registered VAT number must provide that number during the registration process. The Organizer verifies all VAT numbers to prevent fraud, and invoices are issued based on the payment details provided during registration.
  • Tickets shall be non-transferable unless prior written approval is provided by the Organizer.


3.    Cancellation & Refund Policy

  • All registration cancellation & transfers requests should be sent by email to info@sptforum.com.
  • The following cancellation conditions will apply:
    • For cancellations submitted at least 30 days prior to the Event, the full amount will be refunded, subject to the deduction of a cancellation fee equal to 30% of the price (excluding applicable VAT and any transfer costs, which remain the responsibility of the participant).
    • Cancellations made 30 days or fewer prior to the event are not eligible for a refund
  • All refunds are issued in EURO and subject to prevailing exchange rates. Refunds will be processed within 15 days following the conclusion of the Event and will be returned using the same method as the original payment. Any applicable bank charges will be deducted from the refunded amount.
  • The organizer reserves the right to reschedule or cancel the event due to unforeseen circumstances. In such cases, full refunds will be provided within 30 working days from the date of cancellation. The organizer shall not be held liable for any additional costs or losses incurred, including transportation expenses, accommodation charges, or financial losses.


4.    Event Rules & Conduct

  • All attendees are required to conduct themselves in a professional and respectful manner at all times.
  • Any behavior considered disruptive, abusive, or otherwise inappropriate may result in the immediate removal of the participant from the event without compensation.
  • Attendees must comply with all venue rules, health & safety guidelines.
  • All participants are required to adhere to the instructions provided by the Organizer's staff throughout the Event
  • The Organizer reserves the right to request identification from an attendee at any time without providing any explanation. The attendee agrees to comply promptly with such a request.


5.    Liability & Disclaimer

  • The Organizer shall not be held responsible for any loss, damage (including theft), or injury sustained by participants during the Event, except where such losses, damages, or injuries are directly caused by an unlawful act of the Organizer.
  • Under no circumstances shall the Organizer be liable for any loss, damage, injury, travel disruptions, or any costs incurred due to force majeure or any other events beyond its control
  • Event schedules and speakers are subject to change without prior notice.


6.    FORCE MAJEURE

  • Force majeure events include, but are not limited to, war or the threat of war, riots, civil unrest, acts of terrorism, industrial disputes, and natural or nuclear disasters, as well as adverse weather conditions, epidemics, pandemics, health risks, fires, and the closure of airports or airspace. Moreover, governmental decisions or administrative injunctions—including restrictions, recommendations, guidelines, or other measures imposed or advised by health authorities—are considered force majeure.


7.    Intellectual Property & Media Use

  • By attending, participants consent to photography, video recording, and promotional use of event footage. Organizer is not liable for photographs and/or video recordings taken by any other partner, sponsor or participant of the Event or any other third party.
  • If you do not wish to be photographed or filmed, please send an email request to info@sptforum.com. Unless you have expressly declined consent in advance, you hereby authorize, free of charge, the Organizer and its partners to photograph and/or record your voice and image, and to distribute and publicize these photos and recordings on any tangible or intangible media, including the Internet (such as on the websites of the Organizer and its partners or on social media), as well as through any other promotional or marketing channels used for informational or promotional purposes.
  • Event materials, presentations, and slides are protected by copyright laws and may not be distributed without permission.
  • All rights to the Event's products and services, including copyrights, database rights, and trademarks, belong to the Organizer or are used with permission. Any unauthorized use of names, logos, or trademarks related to the Event is prohibited and requires prior written consent from the Organizer. Third-party logos and trademarks shown on the Organizer’s platforms, such as the website or mobile app, represent sponsors, supporters, and media partners. Their use by others is not allowed unless approved by the rightful owner.


8.    Governing Law

  • Governing Law These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Latvia. Any dispute arising in connection with these Terms & Conditions shall be resolved pursuant to Latvian law and subject to the exclusive jurisdiction of the Latvian courts


Unless otherwise specified by the Organizer, any revised version of these Terms and Conditions shall become effective immediately upon its publication on the Website. We encourage you to review the current version regularly.
